A New Era in Billing Processes with MyAdmin

One of the most challenging areas to manage in cloud infrastructures is undoubtedly costs and billing processes. When consumption isn’t monitored accurately, unexpected increases in spending and complex billing dashboards can lead to time loss and make budget planning difficult for companies. Do you think it is possible to make this entire process more transparent and easier to control from a single panel? In this blog, we’ll walk you through, step by step, how billing and consumption processes can be managed far more easily thanks to MyAdmin.

Viewing Bills with Authorization Control

Transparency and control are essential in billing processes. With MyAdmin, you can create customized authorization levels for:

  • The procurement team

  • The accounting team

  • Or any employees who only need access to the billing dashboard

This ensures that each group sees only what they need, with the right level of access. This authorization process can be easily managed from the Settings → Users section. From here, you can select which sections each user can access, ensuring that those who only need the billing dashboard can view it—without accessing any other pages.

While managing these details in Azure can be quite complex, MyAdmin offers the same capabilities with just a few clicks and within a much more user-friendly structure.

As shown in the visual, you can grant access to specific billing-related screens by selecting the “View Azure Usage” and “View Invoices” options for the users you want to authorize. This way, users can view only the areas they need, and your billing processes continue to be managed securely.

Additional to E-Invoicing, Current Term Follow-Up

With e-invoicing, you can only see the invoice that has already been issued. However, in MyAdmin you can track:

  • Consumption changes within the billing period

  • The current usage status of services

  • Estimated items that haven’t yet turned into an invoice

—all in much greater detail. If needed, the user can instantly access and download the related invoice as well.

As shown in the pictures above, when you view your latest invoice in MyAdmin, you can analyze all current term changes in detail. In this section, usage increases, decreases, and any modifications related to that billing period are clearly displayed. This allows you to easily understand the causes of any differences in your invoice and follow the process in a much more transparent way.

Invoice Separation Service

The invoice separation service is designed for companies with multiple locations, departments, or operational units, helping them create a more organized and transparent billing structure. Thanks to this feature, businesses can track their costs much more easily by receiving invoices that are separated according to their needs, instead of a single consolidated invoice.

The process begins with an initial consultation with the customer. At this stage, the company’s preferred billing structure is analyzed in detail. It is clarified whether the separation will be based on branches, regions, departments, or other organizational units.

Once all the defined information is accurately entered into the system, the process becomes fully automated. In each billing period, the system automatically performs the invoice split according to the specified criteria, eliminating any manual workload.

Invoice separation service;can be used by customers who operate with monthly–monthly or yearly–monthly billing models.

Thanks to this structure, companies can:

  • Track their expenses on a unit basis

  • Analyze their cost structure more accurately

  • Manage their financial processes in a more controlled and sustainable way

How Are Invoice Separation Parameters Determined?

As shown in the pictures above, the system allows invoices to be split using different parameters depending on the company’s needs.

Invoices can be separated based on many different criteria such as Domain, Region, Department, Office, Postal Code, City, Country/Region, or Usage Location. This allows companies to create the billing model that best fits their organizational structure.

Service Status

Three invoicing models can be picked here.

  • Internal Invoice Process: Billing is carried out according to the company’s internal structure.

  • Allow Makronet to create: Billing is carried out by Makronet.

  • Closed: Invoice separation service is deactivated.

How is the process?

These parameters are determined together during meetings with the customer, and all information is accurately entered into the system. Once the structure is finalized, these fields cannot be changed by the customer afterward to maintain consistency. This standardizes the billing process and helps prevent errors. With this process, a more controlled, secure, and sustainable process is created for both the company and the billing team.

Stay in Control with Azure Subscription Spending Notifications

Lastly, we’d like to highlight the spending notification feature for Azure subscriptions available in MyAdmin. With this feature, cloud-usage-based costs can be kept under control. During this process, a spending limit is set together with the customer, and the system is configured to monitor the usage amounts of Azure subscriptions according to this limit.

When the defined limit is exceeded, the system automatically kicks in and instantly sends notifications to both the customer and our relevant teams. This way, any potential budget overruns related to Azure subscriptions are detected early, allowing timely intervention.

Thanks to this structure, a more predictable, secure, and seamless billing process is ensured for both customers and internal teams.

Well-structured billing processes not only support cost control but also form the foundation of sustainable business management. With transparent monitoring, automated invoice separation, and smart alert mechanisms, MyAdmin helps businesses make their billing operations more controlled, secure, and efficient. As a result, companies can transform their financial processes into a structure that is clear, manageable, and free from unnecessary complexity.
